SideDrawer Metadata

Learn how to create, edit and add Metadata Keys and Values to a SideDrawer in your Tenant

What Is Metadata?

Metadata is an extra label on your SideDrawers that corresponds to information from other systems.
For example, if the name of your SideDrawer is the client or household name, the metadata could be an account number, matching their bank account number listed on their statements.

How Do I Use Metadata?

Metadata makes it easier for different systems to connect to each other, or for you to use the same labels for client information across different systems.
Attaching a Salesforce ID to a SideDrawer is what lets our Salesforce integration link that drawer to the client account in Salesforce.

Labeling drawers with a metadata account ID lets you use Batch Delivery to deliver statements or other documents to multiple SideDrawers by applying account IDs or similar unique labels from other systems to ensure that documents are delivered to the correct drawer.

Metadata in SideDrawer has 2 elements: the Metadata Key (what kind of label it is) and the Metadata Value (the unique identifier for this SideDrawer).
For example, for an account number, the Metadata Key could be AccountID, and the Metadata Value for this drawer would be the client's account number, 1234567.

Each SideDrawer can have multiple Metadata Keys, so one drawer might have an InvestmentID to link to investment statements, a TaxID to link to tax returns, and a SalesforceID to link to the client's Salesforce account.

You can also assign multiple Values under the same Metadata Key- for example, if a household SideDrawer has 2 AccountIDs, one for each spouse.


Metadata vs. Tags

In SideDrawer, Tags are labels that you can add to a SideDrawer to improve searching, sorting, and filtering.

Tags usually correspond to information about the SideDrawer that is internal to your business: region, advisor, client type, etc.

Metadata usually corresponds to information about the SideDrawer that is external to your business, or connected to other systems: bank accounts, Salesforce account ID, Addepar ID, etc.

Adding Metadata to a SideDrawer

You can add metadata to a SideDrawer as it's created, in the Create a SideDrawer flow, or later on, through the Accounts->SideDrawers menu in your Console.

Adding Metadata During SideDrawer Creation

To add metadata during SideDrawer creation, you'll need to use the downloadable CSV template.

This option works best when you're bulk-creating multiple SideDrawers, but you can also use it to create a single SideDrawer and add metadata at the same time.

  1. In Console, go to Accounts->SideDrawers, and select Create a New SideDrawer

  2. In the Create a SideDrawer flow, select Download a SideDrawer CSV Template at the lower left:

  3. Fill out the CSV template, adding Metadata Key(s) and Metadata Value(s) as needed:


    Column A: SideDrawer Name - the name of the drawer being created (usually the name of the client, family/household, or business)

    Column B: Email Address - use your own email, or an admin email in your environment, not the client's email (you'll add the client as a Collaborator later in the flow)

    Column C: (Optional) First Name

    Column D: (Optional) Last Name

    Column E: Metadata Key 1 - enter the description for your Metadata field, "AccountID," "TaxID," etc.
    In the rows, enter the Metadata Value corresponding to that client's SideDrawer - their account number, tax account number, etc.

    Column F: Metadata Key 2 - enter the description for your next Metadata field, "AccountID," "TaxID," etc.
    In the rows, enter the Metadata Value corresponding to that client's SideDrawer - their account number, tax account number, etc.

    If you only have one Metadata field, leave Column F empty

  4. Upload the CSV template to the Create SideDrawers screen


    The details for each drawer in the batch will populate, and you can review and edit the SideDrawer name and Owner email if necessary.
    Hover over the ? icon next to each SideDrawer name to view its Metadata Keys and Metadata Values:


    When your review is complete, click Create SideDrawers to create the drawers and move to the next step.

  5. Your SideDrawers are now created, and the Metadata Keys and Values have been applied.
    From here, select Continue to Collaborators to continue with the Create SideDrawers workflow, to add Collaborators, send Content Packages, and deliver Info Requests, or choose Finish & Close to leave this workflow:


Adding Metadata to an Existing SideDrawer

You can add Metadata to an existing SideDrawer at any time, through the Accounts->SideDrawers menu in your Console.

In order to add/edit Metadata for a drawer, you need to have front-end access to that drawer, as SideDrawer Owner or SideDrawer Editor.

If you don't have access, but need to add/edit Metadata, you can select Collaborate with this SideDrawer from the Accounts->SideDrawers menu to add yourself to that SideDrawer with Editor permissions.
Remember that this will be visible in the front end, both in the drawer's Collaborators menu, and in the Timeline and email notifications.

From the Accounts->SideDrawers menu, click on the 3 dots to the right of the selected drawer, and click Manage Metadata in the pop-up menu:


You'll see a display with any existing metadata for the drawer.
You can edit the existing values, or click Add Metadata to add a new line for additional metadata:

Enter the new details, then click Submit:


You can also remove metadata details that are no longer needed by clicking the trash can icon for that row, then selecting Submit.

Bulk-Adding Metadata

If you need to add metadata to a large number of SideDrawers, please contact [email protected] - we will enlist our IT team to bulk-add the metadata from the back end.

For example, if you have 200 SideDrawers, and then set up a Salesforce account, we can help you add the Salesforce IDs to all the SideDrawers as metadata, to support the integration.

Adding Metadata through Integrations

Some integrations will add metadata automatically, which you will then be able to view in Console using the Accounts->SideDrawers menu.

For example, if you have a Salesforce integration set up, and you create a SideDrawer from a Salesforce account, that SideDrawer will be created with a SalesforceID Metadata Key, and a Metadata Value matching the Salesforce Account ID, which enables the connection of that SideDrawer to the relevant account entry in Salesforce.
