Definitions for General Users of the SideDrawer product

General User

A general user is an individual with a valid login to access the application.

Collaborator

A user that has been given a specific permission to a SideDrawer or a Record.

Console Definitions

General Definitions for environments that can be created in your SideDrawer environment

Term

Definition

Tenant / Organization

A Tenant is the main environment created for a Professional Organization to manage a SideDrawer program.
The Tenant has unique Branding and UX Configurations, Workflows (Info requests and Content packages), Program Administrators (Tenant Owner, Tenant Manager and Brand Manager), Affiliates (definition below), created SideDrawers with assigned subscriptions and Team configurations (a fast way to assign a group of users access).

Affiliate

An Affiliate is an optional sub-section of a Tenant. A Tenant can be the 'parent' entity to many Affiliates.
Organizations create Affiliates to create segregated environments for different groups of managing users.
Ex. If I have a practice with multiple advisors who I do not want to see each others work, I can create a unique Affiliate for each advisor and assign them as a Brand Manager to their Affiliate.
This means each group assigned to an Affiliate in my Tenant will have their own segregated 'independent' work space.
Tenant Owners and Tenant Managers have access to all Affiliate details as managers of the entire program.

Console Admin Roles

Tenant Owner

Tenant Owner has master control over the Tenant.
They own the credit card information for payment and cannot be removed as an administrative user of the program.
Tenant Owner can see all the information in the Environment (including all affiliates), and can force collaboration into any SideDrawer in the Tenant.

Tenant Manager

Tenant Manager has the same access as a Tenant Owner - meaning full access to all Affiliates (SideDrawers and Workflow content) and can force their way into any SideDrawer.
Tenant Managers do not hold payment information and can have access revoked if needed.

Brand Manager

Brand Managers are administrative users assigned to an Affiliate.
They only see materials and SideDrawers assigned to their Affiliate in the Tenant, and have a more limited role regarding access.

NOTE: Anyone of the above roles can assign an admin role equal to their role or the one below, with exception of the Tenant Owner who cannot assign another Tenant Owner, only Tenant Manager and below. Brand Managers for example can only assign another Brand Manager within their Affiliate (Brand).

Teams

A group of users that can be assigned access to a SideDrawer(s) or Record(s) collectively instead of adding each user individually.
The individual that is being added to the team doesn’t need to be a console user (example a lawyer or accountant).
Once the team has been created, you can assign the permission rights (same for all) as you would for any individual user (editor, viewer, no detail)l at the SideDrawer level or the Record level.

The benefit of creating a Team is that it simplifies managing access across multiple SideDrawer or Records ; adding or removing a user becomes is one click.

Ex.

Situation:

  • John Advisor has access to all company SideDrawers.

  • John Advisor is leaving to join a new firm.

  • Therefore, John's access to client SideDrawers needs to be revoked as soon as possible.

Result:

If John was added to the SideDrawers via a Team, his access can be revoked by removing him from the Team in Console.
If John Advisor was added to each SideDrawer individually, his access would need to be removed from each SideDrawer individually.
