Manage users and invitations with the Clients & Users menu in Console

The Clients & Users menu shows all users who have been invited to your environment, including currently-active users and past users who may no longer have access

From this menu, you can see users' recent activity and key details, check a user's access, and manage invitations

  • Username (Email) shows the email address linked to the user's account
    Remember that the email address acts as the username for SideDrawer, so if a client has multiple emails in this menu, each of them is a separate account with its own access

  • Full Name shows the name that the user entered when registering their account
    Users can edit Full Name in their My Account settings, so this entry may change over time
    If a user was invited during SideDrawer creating, this field will stay blank until they register and enter their name

  • Tenant Role shows any admin role that this user has - Owner, Tenant Manager, or Brand Manager. Non-Admin users (with no Console access) will show a blank on this column.

  • Registration Date: the date that the user accepted their invitation and registered their account
    This field will show as Pending Registration if you've invited a user but they haven't registered yet
    Once a user registers, their Registration Date is locked in, and will always show the same date

  • Last Log In: once a user registers, this field will show the date of their most recent login
    Last Log In is a dynamic field, so it will update every time the user logs in
    You can use this field to get a high-level view of which clients are active in the system - very useful around February-March, if you need to start preparing for tax season

Viewing, Searching, and Filtering the menu

Search Bar

Type in this bar to search for a client by email address, or to apply a filter.

Filter

Click on the filter tool, then select a filter category from the drop-down menu.
You can also click the + icon on the right to add multiple filters for cross-referencing.

  1. Click on the Filter icon to activate the filter tool

  2. Click the down arrow to open the Select a filter drop-down

  3. Choose your filter category

  4. Click Apply Filters to start the search

When a filter search is active, the filter icon will show in orange, with a number in the top right corner showing how many filters are currently active.
Each filter row will also have a checkmark on the right, indicating that you're currently seeing the results of this filter:

Filter categories:

  1. Brand Code: if you have multiple brands, enter the brand code here to filter for users (including admins) related to that brand.
    Note that you will need to enter the complete brand code - you can copy it from the Accounts->SideDrawers menu.

  2. Region: filter your users by country, as indicated when they registered their account.
    In most cases, the available options will be US and Canada.

  3. Username: search for an email address or portion of an email address.
    You can use this filter to locate a particular client, or enter '@company' or similar to filter for internal users.

  4. First Name: search by first name or part of name.

  5. Last Name: search by last name or part of name.

  6. Business Name: search by Business Name - this is a field that is usually only used by enterprise subscriptions, since most clients don't enter a business name when they register.

Configure Fields

You can select which fields appear in this menu, and change their order, using the Configure Fields menu to the right of the Search bar

Click on the Configure Fields button to open the drop-down menu
In the menu, use the check boxes on the right to select which fields appear, and use the 3 lines icons on the left to drag fields to a different position

Export CSV

You can save the data from the Clients & Users menu to a csv file

This function is useful if you want to take periodic snapshots of the user list, for a historical comparison, or for audit purposes

Click on the Export button to the right of the Configure Fields button to save the csv file
The file will be named [yyyy-mm-dd-time]-tenantClientsView.csv

Clients & Users Actions Menu

Click on the 3 dots icon to the right of a user listing to bring up the Actions Menu

From here, you can manage invitations for users who have not yet registered, and check on the access settings for registered users

View Details

Click here to view a user's Details screen

The Details screen shows the username/email, their Open ID (a unique identifier assigned to them in the SideDrawer platform), full name, registration date, and last log in, as well as their system role (this will only apply to admin users) and the name of any Vaults associated with their account

If the user has registered, you will also see a list of any SideDrawers that they have been invited to

You can search and filter this menu just like the Clients & Users menu

SideDrawer Name: the name of each drawer the user has access to

You may see a drawer name repeated multiple times if the user has different kinds of access (multiple Records) within the same drawer

Status: shows whether the user is an Owner or Collaborator on each drawer

Permission: shows whether the permission is at the drawer (sd) or Record (rec) level, and the the permission role (Editor, Contributor, Viewer, etc.)

Type: shows the drawer type (Individual, Business, etc.)

Brand Code: shows whether the drawer belongs to your environment brand or an affiliate

Actions Menu: brings up the Actions Menu for the relevant SideDrawer - see the section below on the SideDrawers menu for more details

Assign Management Role

This option lets you provide admin/Console permissions to an existing user

In the pop-up, select whether you want them to be a Tenant Manager (with access to your whole Console) or a Brand Manager (with access to a subset of clients, drawers, and functions), then click Confirm
This user will be moved from the Clients & Users menu to the Admin Users menu

Resend Invitation

If the user has not yet registered, use this option to re-send the invitation email

This is useful if the invitation went out a while ago, and you want the client to have something more recent in their inbox

Add to a Team

If you have Teams created, you can add a user to an existing Team from here, instead of going to the Teams menu

In the pop-up, select one or more Teams, and click Confirm to add this user to them

Delete Invitation

If the user has not yet registered, you can delete the pending invitation here

This is a useful option if you find that there's a typo in the username/email, or if the client has a different email address that they'd prefer to use instead

In the pop-up, make sure that you're deleting the correct invitation, then click Delete to confirm
